Electro-Methods, located in South Windsor, Connecticut, faced the big paper problems common to regulated industries where safety is the highest goal. To meet Federal Aviation Administration (FAA) guidelines, Electro- Methods must retain some records for 25 years and others for as long as an airplane part is in service. The company continually filled filing cabinets with quality and inspection records, blueprints, certifications and more. "We were running out of room," said Michael Salwa, data processing manager for Electro-Methods. Document version control was a challenge across the company and retrieving a file could take up to an hour. With the help of CD Dimensions, a local Captaris solutions provider with expertise in imaging and document management, Electro-Methods selected Alchemy as the solution. Soon the company was scanning file cabinets full of documents into a digital archive using a KIP wide format scanner/printer and Ricoh scanners. To date, Electro-Methods has scanned more than a million pages into 200 archive databases managed by Alchemy. Electro-Methods also uses Alchemy DataGrabber to automatically gather and import data from images of aperture cards. New blueprint computer files are easy to add to the archive using simple drag-and-drop features. 60 people across several departments now use Alchemy Search on a daily basis to search and retrieve documents right at their computers. Instead of waiting up to an hour for paper copies or hunting for missing files, employees enjoy immediate access to the latest versions from their desktop computers. This direct access to documents saves time for everyone. For instance Alchemy has given back almost four hours a day to the engineering administrator since she no longer has to distribute blueprint hard copies. Employees in accounts payable can search and find documents while they are talking with customers on the phone and promptly close issues. Alchemy also supports the company's disaster recovery efforts. Salwa estimated Electro-Methods achieved the payback on Alchemy within six months. "Alchemy is very reasonably priced for what it does," he noted. "There are no more lost papers or multiple copies. Managers love it." Deploying Alchemy also allowed the company to reclaim the office space previously occupied by filing cabinets and repurpose it for more productive use. "We can do higher volumes of business with the same amount of people," Salwa said. And when customers tour the Electro-Methods facility he said the Alchemy digital archive system is "another feather in our cap to show we have an online imaging system instead of volumes of paper."
