(NASDAQ:CAPA), a leading provider of Business Information Delivery solutions, today announced Windsor Life Assurance Company Limited, an insurance firm in England, is using Captaris Alchemy(R) Document Management to electronically manage its policy holder correspondence. The solution improves customer service by making document retrieval almost instantaneous, eliminates off-site storage fees, and supports business growth by quickly integrating documents from recent acquisitions. Since its inception in the 1960s, Windsor Life stored data for its 750,000 policy holders on paper and microfilm. Correspondence with clients must be preserved for at least 7.5 years, as required by the UK Financial Services Authority. The manual record-keeping methods meant some paper files were not immediately backed-up for disaster recovery. When customer service representatives needed the information, they had to submit a request for the microfilm and wait at least 24 hours for the document. Windsor Life implemented Captaris Alchemy to replace the microfilm system. New documentation is now scanned from paper using the Alchemy Scan input module or accepted in electronic format. Other data are imported using Alchemy DataGrabber. The digital files are now stored in a secure location on the computer network and managed by the Alchemy Advanced Server, the foundation for integrated records management, library services, audit logging, access control and other administrative functions. As a result of integrating Alchemy within Windsor Life's Alpha policy administration system, workers can now access files within seconds without leaving their desks. "Alchemy has transformed (our) operations. Documents are available and shared across the business immediately (now)," said Sarah Myers, head of operations processing for Windsor Life. The firm has eliminated external storage fees. Even files pertaining to transactions in process are backed-up digitally to ensure business continuity in the case of a disaster. Call center and other employees save hours each day using Alchemy. "Before it would have taken at least a day to get the microfilm and wade through the information," said Catherine Keeble, applications consultant with the Windsor Life IT department. "With Alchemy, we have full track of transactions and images at our fingertips." Executives also appreciate the support Alchemy lends for strategic business growth. The firm recently acquired two businesses and imported all necessary information directly into Alchemy. "Electronic files were sorted and accessible from day one (after the acquisition)," Myers noted. Windsor Life expects Alchemy will pay for itself within the first year of implementation.
